Sharing a vehicle with a workshop

Available in: ๐Ÿ“ฑ App

Share your vehicle with your workshop: they'll then see service plans, due dates, and the shared service history in their Workshop Portal โ€” and can record service entries directly for you. You decide the scope and can end the share at any time.

How to startโ€‹

  1. Open your vehicle and go to the vehicle settings
  2. Tap Sharing โ†’ Share โ†’ Share with workshop (scan a QR code or search for a workshop)

There are two ways to find the workshop:

Option 1: Scan the QR code โ€” active immediatelyโ€‹

  1. Choose Scan QR and scan the workshop's RideBase QR code (e.g. at the reception desk)
  2. Check the preview in the Confirm workshop step (name, address, logo) and tap Next
  3. In the Set permissions step, set the permissions and tap Share

The share is active immediately โ€” the QR code comes directly from the workshop and counts as confirmation.

:::tip Scanned the QR code with your phone's camera? That works too: if the app is installed, it opens directly in the sharing flow. Without the app, the link shows a page with the store links โ€” after installing, simply scan the code again. :::

Option 2: Search for the workshop โ€” with a requestโ€‹

  1. Choose Search workshop and enter a name or place (at least 2 characters)
  2. With the All workshops / Only matching toggle you filter for workshops that service your vehicle type according to their profile โ€” matches show the badge "Suitable for your vehicle" or "Possibly not suitable"
  3. Pick the workshop, confirm the preview, and finally tap Send request

With this route, the workshop first has to confirm your request โ€” until then it has no access and the share shows the Request pending badge. You get a push notification as soon as the workshop has accepted ("Share confirmed") or declined. You can withdraw an open request at any time via Withdraw request and submit it again later.

info

If you scan the QR code of a workshop that doesn't service your vehicle according to its profile, the app shows a warning โ€” you can still grant the share.

What may the workshop see?โ€‹

In the Set permissions step ("What may the workshop see?") you choose:

AreaSetting
Service plans & due datesAlways on โ€” the workshop can execute service plans
ComponentsAlways on โ€” the workshop can manage components
Service historyAll entries (including your entries and those of other workshops) or Own entries only (only what this workshop records itself)
Documents & attachmentsOptional, off by default
Odometer historyOptional, on by default โ€” odometer readings only, no routes

:::warning What a workshop never sees Your trips and GPS routes, fuel entries, and purchase data are never visible to workshops โ€” regardless of the settings you choose. :::

What may the workshop do?โ€‹

The workshop can create service entries for your vehicle, create and execute service plans, and create, mount, and unmount components โ€” read more from the workshop's perspective under Working for customers. You're informed about each of these actions by push notification, e.g. "New service entry".

Managing and ending a shareโ€‹

Under Sharing you can see each workshop share with its areas (e.g. service plans, history (all), components, odometer). Via the share's menu you can:

  • Edit permissions โ€” e.g. adjust the history scope or documents
  • End share โ€” the workshop immediately loses access

A vehicle can be shared with several workshops at the same time, and you can share several vehicles with the same workshop.

:::tip Do you run a workshop yourself? Then check out how to register as a workshop in the Workshop Portal and display your QR code. :::
