Internal notes on customers and vehicles
Available in: 💻 Workshop Portal on web.ridebase.app
With "Interne Notizen" (internal notes), your team keeps knowledge about customers and vehicles on record — e.g. "customer wants a callback before extra work" or "side cover screw stripped, hand-tighten only".
:::info Only visible to the workshop Internal notes are visible exclusively to your workshop team. The customer never sees them — not in the app, not anywhere else. :::
Where to find the notes
Open a customer vehicle — in the "Übersicht" (overview) tab you'll find the "Interne Notizen" section with two columns:
- "Notizen zum Kunden" (notes on the customer) — appear on all vehicles of this customer
- "Notizen zum Fahrzeug" (notes on the vehicle) — apply only to this one vehicle
Each column can hold any number of notes. Every note shows who created it and when — and, if it was changed later, by whom.
Creating and formatting a note
- In the appropriate column, click "Notiz" (note)
- Write your text and format it via the toolbar if needed:
- "Fett" (bold,
**fett**) - "Kursiv" (italic,
*kursiv*) - "Liste" (list — start lines with
-)
- "Fett" (bold,
- Click "Speichern" (save)
All workshop roles may create, edit, and delete notes — including notes from colleagues.
Editing a note
Hover over the note and click the pencil icon, change the text, and click "Speichern". The note then additionally shows "bearbeitet von …" (edited by …).
Deleting and restoring a note
- Click the trash icon on the note
- Confirm the "Notiz löschen?" (delete note?) dialog
Deleted notes aren't gone right away: they move to the "Gelöschte Notizen" (deleted notes) view, which you can show via the button of the same name at the top of the notes section. There you can see who deleted the note and when, and bring it back via "Wiederherstellen" (restore).
What happens when the share ends?
If a customer ends the share, your workshop loses access to the vehicle — and with it, to the notes. But they aren't deleted: if the customer shares a vehicle with you again later, the notes are back.
For work the customer should see (completed service, recommendations as a service plan), use service entries and service plans instead.
