Working for customers – service, plans & components
Available in: 💻 Workshop Portal on web.ridebase.app
For shared customer vehicles, your workshop can take action itself: record service entries, create and execute service plans, and manage components. The customer is automatically informed about each of these actions via push notification.
:::info Mind the roles Which actions a team member may perform depends on their role — you'll find the overview under Team & roles. :::
Creating service entries
- Open the customer vehicle and click "Serviceeintrag" (service entry) at the top
- Fill in the entry (work performed, date, reading) and attach receipts or photos if needed
- Save — the entry appears in the history and the customer receives the notification "Neuer Serviceeintrag" (new service entry)
For workshops, the following applies:
- Only entries of type service are possible — fuel, odometer, or other entries can only be created by the vehicle owner
- Editing and deleting is only possible for entries your own workshop created; the customer's entries and those of other workshops remain untouchable
Creating and executing service plans
In the vehicle's "Servicepläne" (service plans) tab you can:
- create a new plan via "Serviceplan hinzufügen" (add service plan) — e.g. "chain replacement every 5,000 km"
- check off a due plan via "Jetzt ausführen" (execute now) — this creates a service entry and the plan restarts its interval
- edit existing plans via the pencil icon
- delete your own plans (badge eigener Plan — own plan) via the trash icon
Each plan shows its traffic-light status, progress bar, interval, and last execution.
Managing components for the customer
In the "Komponenten" (components) tab you manage the vehicle's wear parts and attachments:
- Creating — the new component belongs to the vehicle owner; your workshop remains noted as its creator
- Mounting / removing — including components the customer created themselves (and the owner's storage and archive)
- Editing, archiving, deleting — only for components your own workshop created (badge eigene Komponente — own component)
The customer is also notified by push about mountings and removals.
What the customer sees
- Your workshop's service entries appear in the customer's app with your workshop as their source
- The customer can adjust or end their share at any time — after that, no further actions are possible
- If the customer restricted the history to nur eigene Einträge (own entries only), you only see what your workshop itself recorded (note in the "Historie" (history) tab)
Internal remarks the customer should not see (e.g. "customer wants a call before any repairs") belong in the internal notes.
